Job Summary
The Payroll Supervisor is responsible for overseeing and managing the entire payroll process for multiple entities, ensuring timely and accurate submission and processing of payroll. This role involves conducting reconciliations, reviews, and audits of payroll records, and manages the Payroll Specialist. The Payroll Supervisor also handles managing the relationship with outsourced payroll services, compliance with federal and state wage and hour laws, and provides support to employees regarding payroll inquiries. The Payroll Supervisor reports directly to the Controller and plays a critical role in maintaining the integrity and efficiency of the payroll function within the organization.
Essential Functions
Payroll Processing and System Management:
- Ensures timely, accurate submission and processing of payroll for multiple entities.
- Manages semi-monthly, multi-state payroll process that includes importing, proofing, editing, processing, and transmitting all payroll wages, deductions, reimbursements, bonuses, commissions, and manual payments consistent with federal and state wage and hour laws.
- Conducts reconciliations, reviews, and audits of payroll and timekeeping related records.
- Manages work of Payroll Specialist, including performing updates to payroll-related information and managing overall payroll workflow.
- Manages and maintains payroll systems, ensuring they are up-to-date and functioning correctly.
- Work with the payroll processing company on system improvements.
- Ensures timely processing of all new hires, promotions, transfers, and terminations.
- Ensures employees are created in the appropriate systems for payroll related purposes.
- Manages the completeness and accuracy of payroll related accruals.
Reporting and Compliance:
- Prepares and distributes various payroll reports for management, finance, and other departments as needed.
- Analyzes payroll data to identify trends and areas for improvement.
- Stays on top of payroll-related requirements and ensures compliance with them.
- Reconciliation of payroll-related accounts and timely vendor payments.
- Ensure tax accounts are set up and remitted properly.
- Audit employee benefits to deductions.
- Responsible for completing and submitting accurate and timely information in support of Workers Comp and 401(k) reporting and audits.
- Setup new states and related payroll accounts as required.
- Deactivate states and related payroll accounts as required.
- Work with the payroll processing company to create custom reports.
- Responsible for validating compensation in the budgeting and reforecasting process.
- Stay updated on payroll regulations, tax laws and industry trends, implementing necessary changes to ensure compliance and best practices.
- Ensure complete and accurate quarterly reporting of payroll-related items to the Parent Company.
Collaboration and Assistance:
- Provides support and guidance to employees regarding payroll-related inquiries and issues.
- Educates employees on payroll policies and procedures.
- Addresses issues and questions regarding payroll from employees and superiors.
- Interacts with HR and other relevant team members.
- Acts as the primary point of contact with outsourced payroll services including auditing the payroll entered by service, providing internal support for issues, and creating new custom reports.
- Handles very sensitive data and information with appropriate discretion and sensitivity.
LMA – Leadership, Management, and Accountability:
- Run L10 meetings, define metrics, define rocks, and IDS issues.
- Keep expectations clear, communicate well, reward and recognize your team.
- Deliver right meeting pulse, weekly 1:1’s, quarterly conversations, annual performance reviews.
- Use the necessary tools – Resources, Training, Technology, People, Time & Attention, Accountability Chart.
- Be a role model, “walk the talk” to your team and the entire company.
- Take Clarity Breaks to think about your team, the department, the overall company.
- Lead Performance Management for you team, including using People Analyzer, PIP’s, Code of Conduct, Progressive Corrective Action Policy, Career Growth & Professional Development.
- Participate in the timesheet and expense report approval process.
- Manage and mentor team members.
- Provide guidance to team members regarding how to meet goals and other objectives.
- Lead professional development initiatives to ensure team skills are staying relevant.
- Identify strengths and issues; drive and develop better behavior (team building, skill enhancement, training).
- Participate actively in the recruiting process for team members as well as rapidly onboard new HR team members.
- Encourage and support employee engagement to enhance the success of Doyon Technology Group.
- Portray our core values and represent our brand appropriately and lead by example.
- Build strong relationships with team members and external contacts.
- Utilize our team and delegate tasks appropriately to increase efficiency and execution timing.
- Participate in internal projects including new offerings and process improvement.

- Resource management, including capacity planning, productivity, forecasting.
Qualifications
- Bachelor’s degree in accounting, Business, or a related field is strongly preferred; equivalent work experience can be substituted.
- 6+ years of experience in payroll with at least 2 years of experience in leading the payroll function/team.
- Strong proficiency in MS Office, Accounting, and Payroll software.
- Comprehensive knowledge of payroll practices, payroll accruals, audit support, and multi-state payroll.
- Strong knowledge of federal and state wage and hour laws.
- The willingness and ability to comply with local, state, and federal financial regulations, as well as the regulations established by the company itself.
- Experience with government contracting organizations preferred.
- Valid driver’s license and insurance.

Working Environment
The majority of work for this role is performed in a home office and/or professional office and interacts with a wide variety of people with differing functions, personalities, and abilities. Telecommuters are expected to have sufficient home office space that appears neat, organized, and professional when on video meetings.
