Challenge
The Childcare Nonprofit was dissatisfied with their existing managed services and phone provider. While moving to a new office, they decided to changeover to Arctic IT’s cloud-managed services. Unfortunately, their existing phone provider was the only phone service available at the new office, so they turned to Arctic IT to help find a solution.
“The Arctic IT team was wonderful. They were responsive to my client’s needs and were pleasant and quick to respond. The local team rose to the occasion and the solution works great. Nicely done!”
Solution
Arctic IT recommended Microsoft Teams Phone as an alternative to the existing phone provider. Teams Phone runs primarily on an internet connection and included key functionality to meet the Nonprofit’s requirements:
- Single platform for voice calls, chat messaging, and video conferencing
- Dial-by-name directory
- Support for Spanish and English phone trees and call queues
- Remote work flexibility and mobility
- Pre-configuration of office closure greetings
- Service reliability and more.
The Nonprofit opted to make the transition to Teams Phone. Arctic IT’s engineering team worked in lockstep with the Nonprofit throughout the process. First, the structure of their phone tree was mapped out to fit the Teams Phone model. Next, temporary numbers were assigned to allow users to test call flows and the Teams platform in general during implementation. The Nonprofit employees were then trained on the solution via live webinars, which were recorded to ensure they will always have access to the training material as needed. Finally, the existing phone numbers were ported over and preassigned for a seamless service transition.
Results
Increased mobility with simplicity was key for the Nonprofit. Teams Phone allows employees to make calls from anywhere using the same phone number, so they no longer need to forward calls to a mobile device when out of the office. They now have a single, reliable solution to perform their communication activities, including calls, chats, and meetings.
“I was hired as the Project Manager after the vendor was selected,” said Sioux-z H.M., Consulting Project Manager for the Childcare Nonprofit. “The Arctic IT team was wonderful. They were responsive to my client’s needs and were pleasant and quick to respond. The local team rose to the occasion and the solution works great. Nicely done!”
